Moving from another EMR

Yes — patient demographics, appointment history, allergies, medications and problem lists come across from an export of your current system, Qlynic does the mapping, both systems run side by side until you pick the cutover day, and the Switching EMR page walks through the retention rule, the export questions and the cutover order; a full clinical-record migration needs an explicit written plan, and steps, timing, formats and any fees are confirmed in writing.

How the move goes

  1. We take a copy. You export from PS Suite, Med Access, Oscar, Accuro, CHR or a spreadsheet — or we take the copy with you watching. Nothing is switched off and nothing is moved.
  2. You get your data back inside Qlynic before you commit to anything. If something came across wrong, that is ours to fix.
  3. Both run at once for as long as you want. The old system stays yours and stays running.
  4. You pick the day. On the Monday after, the only thing that changed is which screen the front desk is looking at. If it isn't right, you go back — the old system is still there.

A patient list is not a whole chart. Encounter notes, scanned documents and fields your export does not carry need an explicit plan; what is included, how long it takes, which formats are supported and whether anything is charged are confirmed in writing for your clinic before anything moves, and no patient information is loaded until the privacy and security process is agreed.

Three things to settle before you give notice

  • Retention. Alberta's CPSA standard keeps an adult chart ten years from the last entry, and a minor's until ten years from the last entry or two years after they turn 18, whichever is longer. Changing vendor does not change what you owe.
  • The export. Ask the outgoing vendor which of the nine chart parts come out as fields (demographics, allergies, medications, problem list, immunizations, lab & DI results, encounter notes, appointments & recalls, billing history) and which come out as a PDF picture. Ask for a sample export before you commit. Send us the field list and we will say which of the nine is missing.
  • Your contract. The notice date, the export-on-termination clause, extraction fees and custody wording decide what you walk out holding.

The cutover, in order

T−14 load and distrust the export; T−7 one booking book, not two; T−1 name the freeze hour and ask for the delta; T−0 the delta loads and two people verify the same five charts; T+1 staff the front desk twice over; T+30 keep watching old-system remittances — the 90-day AHCIP clock runs from the date of service, not from the switch.
